Run HR conversations where your team already is: WhatsApp.
A live two-way link between Indian HRM and WhatsApp. Employees apply for leave, mark attendance, and pull payslips over chat. HR pushes approvals, reminders, and payroll alerts back the same way. No new app to install, no training deck.
Indian teams open WhatsApp within 3 minutes of a ping. Compare that to HR emails, where roughly 4 in 5 never get read on shop floors and field sites.
What the WhatsApp integration does
Apply for leave in chat
An employee types the dates in WhatsApp, Indian HRM logs it against the right leave balance, and the manager gets an approve or reject button in their own chat.
Mark attendance over WhatsApp
Field and factory staff share a location pin or reply CHECKIN, and the punch lands in the same attendance register your web dashboard reads from.
Payslips and Form 16 on demand
Staff reply PAYSLIP with a month and Indian HRM sends the PDF, so HR stops forwarding salary slips one WhatsApp at a time.
Statutory and payroll alerts
PF credited, salary processed, PT deducted, or a leave approved: each event fires a WhatsApp to the employee the moment it happens in HRM.
Shift and roster reminders
Night shift, week-off changes, and next-day rosters go out as scheduled WhatsApp nudges, with delivery status written back to the employee record.
Verified sender, no personal numbers
Messages run through the WhatsApp Business API on your org number, so HR never DMs from a personal phone and every reply is tied to a known employee.
Setup in four steps
- Connect your WhatsApp Business number — In Settings, WhatsApp, paste your Meta phone number ID and permanent token, then Indian HRM verifies the connection in one click.
- Point the webhook at Indian HRM — Copy the callback URL and verify token from the setup screen into your Meta app, so replies from employees flow back into HRM in real time.
- Map employees to their numbers — Import or confirm each employee's WhatsApp number against their profile, and the system flags any duplicates or missing country codes before you go live.
- Pick which events send messages — Toggle leave approvals, attendance confirmations, payroll alerts, and shift reminders on or off per team, then set quiet hours in IST.
- Send a test and switch on — Fire a test message to your own number, confirm the two-way reply lands in HRM, and flip the integration live for the whole org.
Why customers use this integration
- Leave and attendance requests drop into HRM without anyone opening a laptop, which matters for the 60 to 70 percent of Indian SME staff who work off a phone.
- HR stops being a payslip forwarding desk. Employees self-serve payslips, Form 16, and leave balances over chat.
- Approvals move in minutes instead of days because managers act on a button inside a chat they check anyway.
- Every WhatsApp is logged against the employee record with delivery status, so you have an audit trail for PF, salary, and leave notices.
- One org WhatsApp number replaces scattered personal-phone HR chats, keeping employee data off individual devices.
WhatsApp integration FAQs
Which way does the sync run, and is it really two-way?
Both ways. Employees send messages (leave, check-in, payslip requests) that write into Indian HRM, and HRM pushes approvals, payroll alerts, and reminders back out to WhatsApp. The same number handles inbound and outbound.
How fast do messages move between HRM and WhatsApp?
In real time. Inbound replies hit HRM the moment Meta's webhook fires, usually within a second or two. Outbound alerts send the instant the event happens in HRM, such as a payroll run finishing. Scheduled items like shift reminders go at the time you set in IST.
What do I need before I can connect it?
A WhatsApp Business API number (through Meta or a BSP), the phone number ID, a permanent access token, and admin access to Indian HRM Settings. If you only have a regular WhatsApp Business app, you will need to move to the API first, which the setup screen links out for.
What happens if a message fails to deliver?
The failure is logged against the employee with the reason from Meta, such as an invalid number or a 24-hour window that has closed. HR sees it in the communication log, and template messages auto-retry where Meta allows. Employees with no mapped number are skipped and flagged, not silently dropped.
Can employees do payroll and statutory tasks over chat, or only leave?
Beyond leave and attendance, staff can pull payslips, Form 16, and current leave balances, and they receive PF credited, salary processed, and PT deducted alerts. Actual payroll edits stay inside HRM for the finance team, so WhatsApp is read and request, not a place to change salary figures.
