Your Google Workspace and Indian HRM, always in step
Connect Indian HRM to Google Workspace once and stop maintaining two employee lists. When you hire, promote, transfer, or offboard someone in Indian HRM, the change flows to Google in minutes: accounts, org units, groups, calendars, and profile fields all stay matched. The link runs both ways, so edits an admin makes in the Google Admin Console can sync back to the employee record too. For an Indian SME, that means a new joiner has a working email on day one and a resigning employee loses access on their last working day, with a full audit trail of who changed what.
Google Workspace runs more than 8 lakh Indian businesses. Indian HRM keeps every one of those accounts matched to your live muster roll.
What the Google Workspace integration does
Auto-provision new joiners
Add an employee in Indian HRM and their Google account, email alias, and org unit get created before their first standup.
Two-way profile sync
Name, designation, department, mobile number, manager, and work location stay matched, whether the edit starts in Indian HRM or the Google Admin Console.
Same-day deprovisioning
When an exit is marked in Indian HRM, the Google account is suspended on the last working day and Drive ownership transfers to the reporting manager.
Departments become Google Groups
Your Indian HRM department and business-unit structure maps to Google Groups and org units, so distribution lists update themselves as people move teams.
Leave and holidays on Google Calendar
Approved leave and your state holiday calendar (Diwali, regional festivals, and all) publish to each employee's Google Calendar automatically.
Sign in with Google
Staff log into Indian HRM using their existing Google Workspace credentials, so there is no separate password to reset.
Setup in four steps
- Authorise with a super admin account — A Google Workspace super admin signs in once and grants Indian HRM read and write scopes for users, groups, and calendars.
- Map departments to org units and groups — Match each Indian HRM department and business unit to the Google org unit and Group it should feed, or let the wizard mirror your structure.
- Pick sync direction and fields — Choose which fields flow each way (say, HRM writes designation and manager, Google writes email aliases) and set the sync frequency.
- Run a dry run, then go live — Preview every create, update, and suspend the first sync will make, fix any duplicate matches, then switch the connection on.
Why customers use this integration
- A new hire in Bengaluru or Indore has a working email, calendar, and group membership on day one with zero manual account creation.
- Resigned employees lose Google access on their last working day, so you stop paying per-seat licence fees for orphan accounts.
- HR updates one record. Designation, department, and manager changes reach Google without anyone re-typing them.
- Approved leave shows on the team's Google Calendar, so managers see who is off before scheduling a client call.
- Every provision, update, and suspend is logged with a timestamp and the person who triggered it, which holds up in an IT or compliance audit.
Google Workspace integration FAQs
Which direction does the data flow?
Both ways, and you decide field by field. A common setup is Indian HRM as the source of truth for designation, department, manager, and status, while Google stays the source for email aliases and account state. You can also run it one-way if you prefer HRM to only push changes.
How often does the sync run?
By default the connection checks for changes every 15 minutes, so a new joiner or an exit reflects in Google well within the hour. Critical events like offboarding can be set to fire immediately instead of waiting for the next cycle. You can also trigger a full sync manually any time.
What does setup actually need from us?
One Google Workspace super admin to authorise the connection, and a few minutes to map your departments to org units and groups. No scripts, no Google Cloud project, no developer. Most teams finish the wizard and run their first dry run in under 20 minutes.
What happens if a sync fails or finds a conflict?
Nothing gets overwritten silently. If two records clash (say, the same email on two people) or Google rejects a change, the row is flagged in an errors queue with the exact reason, and you resolve it in one click. Successful rows still sync, so one bad record never blocks the batch.
Will offboarding delete an employee's files?
No. On exit the Google account is suspended, not deleted, and Drive ownership transfers to the reporting manager (or a chosen custodian) so nothing is lost. You keep the licence freed up and the data intact for handover.
