Indian HRM and Vyapar talk to each other in real time. When you run payroll, salary expense, PF, ESI, PT and TDS entries post into Vyapar as journal vouchers, mapped to the right ledgers. Employee reimbursements flow back the other way. No CSV exports, no re-keying at month end, no mismatch between what HR paid and what your accountant sees. The connection is two-way: create a vendor or expense head in Vyapar and it shows up in Indian HRM's mapping screen; approve a salary run in HRM and Vyapar's books update within seconds. Built for Indian SMEs that run payroll in one tool and file GST and returns in another.

Used by 400+ Indian SMEs to reconcile payroll and books, cutting month-end close from 3 days to under 2 hours.

Sync your Indian HRM payroll straight into Vyapar books, both ways, every cycle.

What the Vyapar integration does

Payroll posts as journal vouchers

Every salary run in Indian HRM writes a dated journal voucher into Vyapar with gross pay, net pay and each deduction split into its own ledger line.

Statutory ledgers stay separate

PF at 12%, ESI at 0.75% employee and 3.25% employer, PT per state slab and TDS under 24Q each map to their own Vyapar liability ledger so filing stays clean.

Reimbursements flow back to HRM

Expense claims and vendor payments you record in Vyapar sync into Indian HRM against the right employee, so your CTC view matches actual spend.

Two-way ledger mapping

Create a cost centre or expense head in Vyapar and it appears in the HRM mapping screen within a minute, ready to assign to a department or branch.

Employee to party matching

Each employee links to a Vyapar party once, then salary, advances and loan recoveries auto-attach to that record on every future run.

Real-time sync with retry

Entries push the moment a payroll run is approved, and any failed voucher retries automatically with a full audit log you can inspect.

Setup in four steps

  1. Connect your Vyapar account — Open Integrations in Indian HRM, pick Vyapar and authorise with your Vyapar company credentials to establish the secure link.
  2. Map your ledgers — Match HRM heads (salary expense, PF payable, ESI, PT, TDS, net pay) to the matching Vyapar ledgers, using the suggested defaults or your own chart.
  3. Link employees to parties — Assign each employee to a Vyapar party in one bulk screen, or let auto-match pair them by name and PAN and confirm the exceptions.
  4. Set sync direction and frequency — Choose real-time on payroll approval or a scheduled nightly push, and decide which entries flow back from Vyapar into HRM.
  5. Run a test payroll — Process one draft salary run, check the journal voucher inside Vyapar, then switch the connection live for your next real cycle.

Why customers use this integration

  • Month-end close drops from days to hours because payroll journals are already sitting in Vyapar when your accountant logs in.
  • PF, ESI, PT and TDS liabilities land in dedicated ledgers, so filing 24Q, ECR and PT challans pulls from clean numbers.
  • Zero manual re-entry means no ₹1,00,000 salary typed as ₹10,000, and no deduction quietly missed at quarter close.
  • HR and finance see the same figure for every employee, ending the CTC-versus-books argument that eats reconciliation time.
  • A full sync log shows what posted, when and to which ledger, giving you an audit trail for statutory inspections and GST scrutiny.

Vyapar integration FAQs

Which direction does data flow between Indian HRM and Vyapar?

Both ways. Payroll runs, salary expense and statutory deductions push from HRM into Vyapar as journal vouchers. Reimbursements, vendor payments and new ledger or party records flow from Vyapar back into HRM. You decide which of the return flows to switch on.

How often does the sync run?

You pick. The default posts entries in real time the moment a payroll run is approved, usually within a few seconds. If you prefer, set a scheduled nightly push so everything for the day batches into Vyapar at a fixed time.

What happens if a voucher fails to post?

The failed entry is queued and retried automatically. If it still fails, say because a ledger was renamed in Vyapar, you get an alert in HRM with the exact reason, and the entry sits in a review list until you fix the mapping and re-push. Nothing is lost or double-counted.

Do I have to map every ledger by hand?

No. When you connect, HRM suggests default mappings for salary expense, PF, ESI, PT, TDS and net pay against your Vyapar chart of accounts. You confirm or change them once. After that, new expense heads created in Vyapar appear in the mapping screen automatically for you to assign.

Will this mess up my existing Vyapar books or GST data?

It only writes payroll-related journal vouchers to the ledgers you approve. It never touches your sales invoices, purchase entries or GST records. Every posting carries a reference tag, so you can filter, review or reverse HRM entries in Vyapar without affecting anything else.
