Indian HRM connects to Microsoft Teams as a live two-way link. Leave requests, attendance nudges, payroll alerts, and directory changes flow both ways in near real time. Managers approve a leave from an Adaptive Card inside Teams and the ledger updates in Indian HRM the same second. New joiners added in Indian HRM appear in the right Teams channel with their business unit and reporting manager already set. No CSV exports, no second tab, no copy-paste between systems.

Indian office teams spend most of the workday inside Microsoft Teams. Indian HRM pushes leave, attendance, and PF/ESI payroll alerts into that same window, so approvals happen in seconds instead of sitting in an inbox.

What the Microsoft Teams integration does

Leave approvals as Teams cards

When an employee applies for casual, sick, or earned leave in Indian HRM, the reporting manager gets an Adaptive Card in Teams with Approve and Reject buttons that write straight back to the leave ledger.

Attendance and check-in nudges

Employees who have not marked check-in by their shift start time get a direct Teams ping, and late-mark or missed-punch flags post to the HR channel automatically.

Two-way directory sync

New hires, exits, and reporting-manager changes made in Indian HRM update Teams membership and profile fields, and profile edits in Azure AD flow back to the employee record.

Payslip and Form 16 alerts

On payroll run, each employee gets a private Teams message that their payslip is ready, with PF (12%), ESI, and TDS deductions summarised and a secure link to the full slip.

Holiday and leave calendar posts

State and national holidays plus the week's approved leaves post to your team channel every Monday, so nobody plans a client call on a day half the desk is out.

Onboarding checklist in Teams

A new joiner's onboarding tasks (documents, PF nomination, bank details) appear as a checklist card in Teams that ticks off as they complete each step in Indian HRM.

Setup in four steps

  1. Connect your Microsoft 365 tenant — An admin signs in with Microsoft under Settings, Integrations, and grants Indian HRM read/write access to Teams messages and the user directory through the standard OAuth consent screen.
  2. Map channels and managers — Pick which Teams channel gets HR notices and confirm that Indian HRM reporting managers match their Teams accounts by work email, which the setup screen matches for you.
  3. Choose what syncs and when — Turn on the notifications you want (leave, attendance, payroll, directory) and set quiet hours so alerts hold outside working time.
  4. Run a test and go live — Send a sample leave card to yourself to confirm the approve action writes back, then switch the integration on for the whole organization.

Why customers use this integration

  • Managers clear leave and attendance approvals in under a minute from the card, so pending requests stop piling up before month-end payroll cutoff.
  • HR stops exporting employee lists to keep Teams membership current, because joins and exits sync the moment they happen in Indian HRM.
  • Employees find out their payslip is ready without emailing HR, cutting the usual salary-day flood of 'where is my slip' messages.
  • Missed check-ins surface the same morning, not at month close, so attendance regularisation and LOP disputes drop sharply.
  • One source of truth for names, designations, and reporting lines means the Teams org chart and the HR record never drift apart.

Microsoft Teams integration FAQs

Which way does the data sync, one way or both?

Both ways. Indian HRM pushes leave, attendance, payroll, and directory events into Teams, and actions taken in Teams (approve a leave, edit a profile in Azure AD) write back to the employee record. Leave approvals and directory fields are the two-way flows; payroll and holiday posts are one way, out to Teams.

How often does it sync?

Notifications are event-driven and fire within a few seconds of the trigger, so a leave request reaches the manager almost immediately. Directory sync runs on every change and also does a full reconciliation every 15 minutes to catch anything the webhook missed.

What Microsoft 365 plan and permissions do I need?

Any Business or Enterprise plan that includes Teams works. You need a Global Admin or an admin who can grant application consent for the Teams and directory scopes. Setup takes about ten minutes and does not require anything installed on employee machines.

What happens if a notification fails to send?

Failed messages retry automatically with backoff, and anything that still fails after retries lands in an integration log under Settings with the error reason and a manual resend button. A leave approval that cannot reach Teams stays actionable inside Indian HRM, so nothing gets stuck.

If an employee leaves the company, does Teams update?

Yes. When you mark an exit in Indian HRM with a last working day, the integration can remove them from the mapped Teams channels on that date and flag the account for your IT team to deprovision, so ex-employees do not linger in company channels.
