Approved leaves, shifts and holidays on the Google Calendar your team already checks
Connect Indian HRM to Google Calendar for live two-way sync. Leaves, holidays, shifts, interviews and work anniversaries flow both ways, so managers stop cross-checking two systems before they plan a sprint or approve time off.
Managers in Indian SMEs check a shared calendar 8 to 10 times a day before planning work. When leave lives only in the HR portal, roughly 1 in 5 approved days off never make it there. Two-way sync closes that gap.
What the Google Calendar integration does
Approved leave lands on the calendar
The moment a manager approves casual, sick or earned leave in Indian HRM, an all-day event appears on the employee's Google Calendar and on any shared team calendar.
Genuine two-way sync
Create a leave request as a Google Calendar event with the right keyword and it flows back into Indian HRM as a draft application, balance-checked against the employee's remaining quota.
India holiday list, pushed once
Republic Day, Holi, Independence Day, Diwali and your state-specific gazetted holidays sync as a read-only calendar, so nobody schedules a client call on a day the office is shut.
Shift and roster visibility
Assigned shifts and week-offs from the HRM roster show up as timed events, which matters for the 6-day-week and rotational-shift teams common across Indian retail and manufacturing.
Interviews with Meet links
Schedule an interview in the hiring module and the candidate plus panel get a Google Calendar invite with a Meet link, timezone set to IST, no copy-paste between tabs.
Birthdays and work anniversaries
Employee birthdays and joining-date anniversaries sync to a shared team calendar so HR and managers get a day's notice, not a Slack message an hour too late.
Setup in four steps
- Open the integrations page — Go to Settings, Integrations in Indian HRM and pick Google Calendar under the Productivity category.
- Sign in with Google — Click Connect, choose the Google Workspace or Gmail account that owns your team calendar, and grant calendar read and write access on the consent screen.
- Choose what syncs each way — Toggle which event types push out (leave, shifts, holidays, interviews, anniversaries) and whether calendar events can create leave drafts back in Indian HRM.
- Map calendars and default timezone — Point each event type at a specific Google Calendar and confirm the timezone is Asia/Kolkata so timed shifts and interviews land at the right IST hour.
- Run a test sync — Approve one dummy leave and confirm it appears within a minute, then switch the connection live for the whole organisation.
Why customers use this integration
- Managers approve leave once and see it on the same calendar they use to plan sprints, no second login.
- Client calls and deadlines stop colliding with Diwali, Holi or state holidays because the office holiday list is already on the calendar.
- Rotational and 6-day-week shifts are visible to the whole team, cutting the who-is-in-today questions on WhatsApp every morning.
- Candidates get IST-correct interview invites with Meet links automatically, so no-shows from timezone confusion drop.
- HR keeps Indian HRM as the single source of truth for balances and payroll while the calendar stays a live read-only mirror, so the two never disagree at month-end.
Google Calendar integration FAQs
Which direction does the sync run?
Both directions. Approvals, holidays, shifts, interviews and anniversaries push from Indian HRM to Google Calendar. If you enable inbound sync, a calendar event tagged as leave creates a draft application back in Indian HRM, which a manager still has to approve. Balances always stay under Indian HRM's control.
How quickly do changes show up?
Outbound changes push in near real time, usually within a minute of approval, using Google's push channels. Inbound calendar events are picked up on a short polling cycle, so a leave created in Google Calendar appears in Indian HRM within a few minutes rather than instantly.
Do I need Google Workspace, or does a regular Gmail account work?
Either works. A personal Gmail account can hold a shared team calendar, and Google Workspace accounts work the same way with the added benefit of domain-wide calendars. You connect whichever account owns the calendar your team already checks.
What happens if a sync fails or the token expires?
Failed events go into a retry queue and Indian HRM shows the last sync status on the integration page. If Google revokes the token (for example after a password change), the connection is marked disconnected and an admin gets an alert to re-authorise. No leave or balance data is lost, since the HRM record is always the source of truth.
Will syncing overwrite events my team created manually in Google Calendar?
No. Indian HRM only touches events it created, tagged with its own identifier. Meetings, personal blocks and anything your team adds by hand are left untouched, so the integration adds to your calendar without cleaning out what is already there.
