What a Promotion Letter Format must include

Drafting tips
- Keep the salary revision continuous with payroll. If the effective date is mid-month, tell payroll whether the new CTC applies from the 1st or is prorated, so PF and TDS calculate cleanly.
- State that date of joining and service continuity stay unchanged. Employees worry a promotion resets their gratuity clock (5-year eligibility); one sentence removes that doubt.
- Reference the original appointment letter by date and confirm its terms still hold. This avoids the promotion letter accidentally becoming a fresh contract that overrides notice period or non-compete clauses.
- Get a signed acceptance copy back and file it. Without acceptance on record, a later dispute over the revised CTC or role has no paper trail.
- Match the designation exactly to what HR, payroll, and the ID system will use. Mismatched titles across systems create problems in experience letters and background verification years later.

FAQs
Does a promotion letter reset the gratuity eligibility period?
No. Gratuity eligibility is based on continuous service with the same employer, so a promotion within the same company does not reset the 5-year clock. State clearly in the letter that the date of joining and service continuity remain unchanged to avoid confusion.
Do we need to issue a new appointment letter when promoting someone?
Usually not. A promotion letter that revises designation, CTC, and reporting line, while confirming that the rest of the original appointment terms continue, is enough. Issue a fresh contract only if you are materially changing terms like notice period, location, or employment type.
Does the UAN or PF account change after a promotion?
