Appointment Letter Format (India HR Template)

An appointment letter is the formal employment contract handed to a new hire on the date of joining. It supersedes the offer letter and contains the full terms and conditions of employment.

What a Appointment Letter must include

  • Effective date of appointment
  • Job title, designation, and department
  • Place of work + transferability clause
  • Compensation and benefits (CTC breakup)
  • Working hours and leave policy reference
  • Probation, confirmation, and notice period
  • Confidentiality and non-disclosure clause
  • Conflict of interest and non-compete clause
  • Termination conditions
  • Governing law and jurisdiction

Drafting tips

  • Cross-reference the Leave Policy and HR Handbook by name in the appointment letter. Keeps the contract short while binding the employee to current versions.
  • Always include a "transferability" clause if you have multiple offices, even if you don't plan to use it.
  • Have a labour-law-aware reviewer audit the termination clause for state-specific compliance (Tamil Nadu, Karnataka have stricter rules).
