What is Joining Letter?

A joining letter confirms that a candidate has actually joined the organisation on a stated date, in a stated role. In practice, "joining letter" is used two ways in India. Most commonly, the joining letter and the appointment letter are the same document: the binding employment contract handed over on day one that records designation, CTC, probation, notice period, and policies. The term "joining letter" is simply the colloquial name many HR teams and candidates use for it. Less commonly, some employers issue a short, separate joining letter or joining report on day one, a one-page confirmation of the joining date and reporting details, and then follow it with the full appointment letter. Either way, the document that carries the actual terms of employment is the appointment letter. This is different from the offer letter, which is the pre-joining, conditional document issued after the candidate clears interviews and before they join.

How Joining Letter is used

On day one, issue the appointment letter (the binding joining letter) and collect a signed copy. If you also use a separate one-page joining report, attach it to the appointment letter in the employee file so the record is complete.
