Leave Application Format (Sample + Email Template)
A leave application is a short, written request to your manager or HR informing them of your planned absence. Most companies accept email applications today, but the structure stays the same: reason, dates, work handover, and a contact while you are away.
What a Leave Application must include
- Date of writing the application
- Recipient (manager's name & designation)
- Subject line (Leave type + dates)
- Reason for leave (brief, no over-share)
- Exact start and end date (with day count)
- Work handover plan & emergency contact
- Sender name, employee ID, and signature
Drafting tips
- For sick leave longer than 2 days, attach a doctor's certificate. Most leave policies require it.
- For planned leave (vacation, marriage), apply at least 2 weeks in advance to give the team time to plan.
- For emergency leave, send a WhatsApp/call to your manager first, then follow up with the formal email same day.

FAQs
How do I write a one-day leave application?
Keep it short. Subject: "Leave application for [date]". Body: state the reason in one line, mention work handover if any, and request approval. No need to over-explain.
Can I apply for leave on WhatsApp?
Some companies accept it for short-notice or sick leave, but always follow up with a written email so HR can record it for payroll. Most HRMS tools (Indian HRM included) let you apply directly from a mobile app, which is much better than messages.
Do I need to give a reason for casual leave?
A short, generic reason ("personal work", "family commitment") is enough. You are not required to disclose private details.
What if my leave is rejected?
Speak to your manager about the business reason. If unavoidable, you can usually shift the dates or take half-days. Document the conversation in writing.
