Salary Increment Letter Format
A salary increment letter is the formal record a company gives an employee to confirm a raise, usually after the annual appraisal cycle or a promotion. In India it doubles as a payroll and compliance document, since it fixes the revised CTC, the new component breakup and the effective date that HR uses to update PF, TDS and the next payslip.
What a Salary Increment Letter Format must include
- Company letterhead with legal entity name, registered office address, CIN and the letter date in Indian style (DD/MM/YYYY or 03 July 2026).
- Employee identifiers: full name, employee code, designation, department and business unit so the raise maps to the right payroll record.
- The effective date of the increment, stated separately from the letter date, because arrears and TDS recalculation depend on it.
- Old CTC and revised CTC in ₹ per annum, plus the percentage hike, so there is no ambiguity later.
- A month-wise or annual component breakup: Basic, HRA, special allowance, PF (employer 12%), gratuity provision (4.81% of Basic) and any variable pay.
- A note that statutory deductions (employee PF 12%, Professional Tax as per state, TDS under the applicable regime) continue to apply on the revised salary.
- A line confirming all other terms of the appointment letter stay unchanged.
- Signature block with the name and designation of the authorised signatory, and an acknowledgement line for the employee to sign and date.
Drafting tips
- State the effective date and the letter date as two separate lines. Payroll uses the effective date to calculate arrears and re-run TDS, and confusing the two is the most common mistake.
- Break up the CTC instead of quoting one number. Employees compare take-home, not CTC, so showing Basic, HRA and the PF/gratuity provisions avoids the awkward 'my hike vanished in deductions' conversation.
- Keep Basic at a sensible share of CTC (many Indian firms use 40-50%). Basic drives PF, gratuity and HRA exemption, so a lopsided structure creates compliance and tax issues.
- Mark the letter Private & Confidential and hand it over individually. Salary data leaking across a team is a real morale and retention risk.
- Add the acknowledgement line and keep the signed copy in the personnel file. It is your proof of acceptance if there is ever a dispute over the revised terms.

Is a salary increment letter legally required in India?
There is no statute that mandates a separate increment letter, but you do need documented proof of the revised terms. A signed letter protects both sides and gives payroll a clean basis to update PF, Professional Tax and TDS, so treat it as standard practice rather than optional.
Should the increment letter show CTC or in-hand salary?
Show the revised CTC with a component-wise breakup, and ideally add a note on expected monthly gross. In-hand changes with the tax regime chosen and investment declarations, so committing to a fixed net figure in the letter can create disputes later.
From which date does the increment apply for PF and TDS?
From the effective date stated in the letter, not the date it was signed. If the raise is backdated, you must pay arrears, recompute PF on the higher Basic and adjust TDS for the remaining months of the financial year through Form 24Q.
